Privacy Policy (Zero Latency Ottawa)

In this policy, “Zero Latency Ottawa”, “ZLO”, “we”, “us” or “our” refers to Tannous Ventures Inc., operating as Zero Latency Ottawa, located in Ottawa, Ontario, Canada.
This Privacy Policy applies to personal information collected in connection with:
- our website at https://zerolatencyottawa.ca/ (the “Website”); and
- bookings, gameplay participation, customer support, and marketing communications for experiences at Zero Latency Ottawa (the “Services”).
1) Our role and relationship with Zero Latency VR
For Ottawa bookings and customer interactions handled by us, Zero Latency Ottawa is the organization responsible for your personal information.
We operate under a licence to use the Zero Latency brand and technology. The gameplay platform, player profile system, and certain operational systems are provided and controlled by Zero Latency VR Pty Ltd (Australia) (“Zero Latency VR”). As part of delivering the Services, personal information you provide may be collected and processed within Zero Latency VR-controlled systems. We can access certain information through Zero Latency VR’s portal to administer your booking and support your experience.

2) Canadian privacy laws we follow
We handle personal information in accordance with applicable Canadian privacy laws, including the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial requirements.
If you are located in Québec, we also aim to align our practices with Québec’s Act respecting the protection of personal information in the private sector (as amended by Law 25) to the extent it applies to our activities.
3) What personal information we collect (and how)
We generally collect personal information in three ways: (a) information you provide, (b) information collected automatically through the Website, and (c) information from third parties.
- A) Information you provide (bookings + player profiles)
Depending on how you interact with us, we may collect:
- Contact information: name, email address, phone number, and language preference
- Booking information: date/time, group size, selected experience/package, and related booking details
- Player profile information (Zero Latency VR system): player display name, date of birth, dominant hand, height, and gender
- Communications and support: enquiries, support requests, and information you include in messages to us
- Feedback: reviews, survey responses, and ratings (if you provide them)
Public display inside the venue: Some player information and gameplay results may be displayed to other players within the venue (for example, your player display name and performance statistics shown on an end-of-game scoreboard and/or leaderboard controlled by Zero Latency VR).
- B) Payments
Payments are processed by our payment service providers (including Stripe and Moneris). We do not store full credit card numbers on our Website servers.
For clarity: we do not collect or store your full payment card number or card security code (CVV). Payment details are handled by Stripe and/or Moneris in accordance with their own privacy policies.
- C) Information we automatically collect (Website)
When you visit our Website, we may collect information through cookies and similar technologies, such as:
- IP address
- general location derived from IP address (e.g., city-level)
- device and browser information
- pages viewed, links clicked, and other Website usage information
- referral information (e.g., the site you visited before ours)
- D) Information from third parties
We may receive information from third parties who provide analytics and advertising tools (for example, Google Analytics and Meta Pixel), which may include information about your interactions with our Website and advertisements.
4) Why we collect and use personal information
We collect and use personal information for purposes that a reasonable person would consider appropriate in the circumstances, including to:
- process and administer bookings (confirmations, reminders, changes, refunds/credits)
- provide the gameplay experience, including creating and managing player profiles and displaying results/leaderboards
- communicate with you about your booking, purchase, or enquiry
- provide customer support and respond to requests
- operate, maintain, and improve our Website and Services
- send marketing communications where permitted by law and/or with your consent (see “Marketing (CASL)” below)
- measure and improve advertising effectiveness
- protect security and prevent fraud and enforce our terms
- comply with legal, regulatory, tax, and accounting obligations
5) Consent
By using our Website or Services, and/or by providing personal information to us, you consent to the collection, use, and disclosure of your personal information as described in this policy, subject to your legal rights.
You may withdraw consent at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may affect our ability to provide Services (for example, we may not be able to administer a booking or provide gameplay services without required player profile information).
6) How we disclose personal information
We do not sell your personal information.
We may disclose personal information to trusted service providers who help us operate our business and provide the Services, including:
- Zero Latency VR (gameplay platform, player profile system, and related operational systems)
- booking and scheduling providers (Peek Pro)
- payment processors (Stripe and Moneris)
- website hosting, IT, and security providers
- email and marketing communications providers
- analytics and advertising partners (including Google Analytics and Meta)
These providers are given access only to the personal information needed to perform services and are expected to protect it.
We may also disclose personal information where required or permitted by law, including to comply with legal process, respond to lawful requests, or protect our rights, property, staff, customers, or others.
7) Cross-border processing (outside Canada)
Some of our service providers (including Zero Latency VR and certain technology, analytics, advertising, and payment-related providers) may store or process personal information outside of Canada, including in the United States and Australia.
When personal information is processed outside Canada, it may be subject to the laws of those jurisdictions and may be accessible to law enforcement or other authorities in accordance with those laws.
Safeguards: We take reasonable steps to protect personal information when it is processed by service providers, including using service providers with appropriate security measures and requiring protections through measures such as contractual confidentiality obligations, access controls, and limiting access to those who need it to perform services.
8) Marketing communications (CASL)
If you opt in to receive promotional emails or other marketing communications from us, we may use your personal information to send you updates, offers, and news.
We send marketing communications only with express consent, or where implied consent is permitted under CASL (for example, where you have recently purchased from us or made an enquiry, subject to applicable time limits).
You can unsubscribe at any time by using the unsubscribe link in our emails or by contacting us. Unsubscribing will not affect non-marketing communications (for example, booking confirmations, reminders, or changes).
9) Cookies and similar technologies
We use cookies and similar technologies for essential Website functionality and to understand and improve Website performance and marketing, including through Google Analytics and Meta Pixel.
These tools may collect information about your activity on our Website and, in some cases, may be used to help deliver or measure advertising and may involve tracking across websites and services.
You can control cookies through your browser settings and, where available, through our cookie preference tools. You can also use platform tools to manage ad personalization (for example, Google Ads settings and Meta ad preferences). Blocking some cookies may affect Website functionality.
10) Retention
We retain personal information only as long as necessary for the purposes described in this policy and as required by applicable law (including tax and accounting requirements). When no longer required, we securely destroy, delete, or anonymize the information.
We maintain internal retention practices/schedules designed to ensure personal information is not kept longer than necessary and is securely disposed of when no longer required.
11) Safeguards
We use reasonable administrative, technical, and physical safeguards designed to protect personal information against loss, theft, unauthorized access, disclosure, copying, use, or modification. These safeguards may include access controls, encryption where available, network/security monitoring, and staff training. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.
12) Access and correction
You may request access to the personal information we hold about you and request corrections if it is inaccurate or incomplete, subject to legal limitations.
We may need to verify your identity before processing your request, including by matching booking details (such as name, email, and date of visit) and, where necessary, requesting additional information.
Access requests are generally free; however, a minimal fee may apply in rare cases (for example, where extensive retrieval is required). If a fee applies, we will notify you in advance.
How to make a request: Email info@tannousventures.ca with the subject line “Privacy Request” and include enough details for us to identify your records (for example, the name and email used for your booking and the approximate date of your visit).
13) Automated gameplay features
The Services use automated systems to generate gameplay results (such as scoring and leaderboards). These are used for gameplay and entertainment purposes and are not used to make decisions that produce legal or similarly significant effects about you.
14) Privacy incidents (Law 25 / general best practice)
If a confidentiality incident involving personal information presents a real risk of significant harm, we will take steps required by applicable law, which may include notifying affected individuals and/or relevant regulators. “Real risk of significant harm” may include, for example, identity theft, financial loss, damage to credit, or reputational harm.
15) Children’s privacy
Our experiences have minimum age requirements. We do not knowingly collect personal information from children in a manner inconsistent with applicable law. If you believe a child has provided us personal information, please contact us and we will take appropriate steps.
16) Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on our Website and revise the “Updated” date above. Your continued use of the Website or Services after changes are posted means you accept the updated policy.
